Tasks
Plan & CreateTasks is your to-do list in Deaku. Everything you need to do lands in one place - your own to-dos, project tasks assigned to you, anything a teammate hands you, and follow-ups Deaku creates for you, like a review someone has asked you to do.
Tasks is included on every plan.
How to add tasks, assign them to teammates, tick them off and filter what you see. Watch the tutorial (1:15)
Opening Tasks
- Click the Tasks icon (a tick in a circle) in the top toolbar, next to your notifications.
- Or use the My Tasks tile on your Dashboard. Click the tile's title to open the full view.
- On a phone's web browser, tap My tasks in the header.
Tasks isn't in the Deaku mobile app yet.
Adding a task
Type in the Add a task box and press Enter. While you type, you can add details without reaching for the mouse:
| Type | To |
|---|---|
| @ and a teammate's name | Hand the task to them |
| @ and a project name | Create the task inside that project |
| @ and a canvas, video or image | Link it to the task |
| @ and today, tomorrow, a day or a date | Set a due date |
| @ and urgent, high, medium or low | Set a priority |
| # and a word | Add a tag, or create a new one |
You can also use @ to choose where the task goes: Personal or one of your workspaces.
Prefer a form? Click Open full form (the expand icon) next to the box to set the title, assignee, status, priority, due date, tags and description in one go.
Where tasks live
- Personal - tasks just for you. They follow you into every workspace.
- Workspace - tasks about your work in a workspace. Tasks you hand to a teammate live here.
- Project - tasks inside a project. Project tasks assigned to you show up in your list with the project's name, and changes you make here (like the status) update the project too. See Projects.
Views
Switch views with the icons at the top of the page.
- List - your tasks grouped by status: To do, In progress and Done. When you sort by due date, they're grouped into Overdue, Today, Upcoming and No due date instead.
- Recently assigned - tasks a teammate has handed you that need an answer.
- Delegated - tasks you've handed to others.
- Activity - tasks Deaku created for you, which you can accept or dismiss.
- Board - To do, In progress and Done columns. Drag a card to change its status, or add a task at the bottom of any column. Project tasks stay in the List view.
- Timeline - your tasks laid out over time. See Timeline below.
Along the top you can also:
- Choose which tasks to see with In: all workspaces, this workspace, or personal.
- Filter by Tag. Clicking a tag on a task filters by it too.
- Sort by due date, priority, title, newest, or your own order.
- Choose which details show on each task with Properties.
- Search tasks by title.
Due dates turn amber as they get close and red once they're overdue.
Timeline
The Timeline shows each task as a bar running from the day it was created to its due date, so you can see what's coming and where things pile up.
- Colours - grey for not started, blue for in progress and green for done. The end of the bar turns amber when the task is due soon and red when it's overdue.
- Change a due date - drag the right-hand end of a bar. On a phone, press and hold the bar first, then drag. You can change dates on your own tasks and on project tasks assigned to you.
- Open a task - click its bar.
- Schedule a task - tasks without a due date have no bar yet. Click Click to schedule on the row to give it one.
- Zoom - switch between Week and Month, and click Today to jump back to today.
- Group by project - turn it on to group bars under each project, with the project's own due date marked on its row.
In Team, the Timeline groups everyone's tasks by person. On a phone, the zoom and grouping options are in Options.
Working on a task
Click a task to open it. From here you can:
- Change its status, priority and due date.
- Make it repeat daily, weekly, monthly or yearly. Set a due date first, so Deaku knows when the next one is due.
- Add notes, tags and subtasks.
- Link a canvas, video, image or event, so everything you need is one click away.
- Move into a project - the task becomes a project task. Its notes come with it, but links don't. You need permission to edit projects.
Tasks that Deaku created for you show what they're about at the top - for example, the video waiting for your review. Click it to go straight there.
Completing a task: click the circle next to it, or drag it to Done on the Board. Changed your mind? Click Undo. When you complete a repeating task, the next one is created for you.
Quick actions: right-click any task to change its status, assignee, priority or tags, duplicate it, or delete it.
Deleting a task: open it and choose Delete task. This is permanent and can't be undone.
Handing tasks to teammates
- Type @ and their name in Add a task, or pick them as the Assignee on an open task.
- They're notified and see it under Recently assigned, where they can Accept or Decline. You'll be notified either way.
- Tasks you've handed out sit in your Delegated section. To take one back, open it and choose Retract delegated task.
Handing tasks to others needs the Assign Tasks permission. Owners, Admins and Managers have it by default.
Don't want teammates adding tasks to your list? Turn off Tasks from teammates in Task settings (the gear icon) → Team.
Seeing your team's tasks
If you have the View All Tasks permission (Owners, Admins and Managers by default), switch between Mine and Team. Team shows each member's open workspace tasks. Other people's tasks are read-only, but you can click + next to someone's name to add a task for them.
Tasks Deaku creates for you
Deaku can turn things that need your attention into tasks, so nothing slips through:
- Review requests - on a video or image review page, click Request a review and choose a teammate. They get a review task due in 48 hours, and it ticks itself off once they've reviewed. If the button is greyed out, you need the Assign Tasks permission.
- Notifications - click Add to my tasks on any notification.
- Automatic tasks - choose which kinds of notification become tasks automatically in Task settings, such as comments on your videos and canvases, canvas mentions, AI review results and project assignments. Many complete themselves - a canvas mention task, for example, is done when you open the canvas.
- Getting started - new members get a set of tasks tagged getting started, like Create your first project and Upload your first video. Open one and click Show me how to be guided there. They tick themselves off as you complete them.
Tags
Add tags with # in Add a task, or on an open task. To manage them, open Task settings → Tags, where you can rename, recolour or delete any tag. Renaming a tag to one that already exists merges the two.
Tag colours are just for you. Task tags are separate from canvas and media tags.
Tasks and AI
- Ask Deaku Agent to "remind me to…" and it adds a task to your list. It can also create, update and complete tasks for you, and checks with you before handing one to a teammate.
- AI apps connected with Deaku MCP can read and manage your tasks too.
